I use Smartsheet to track events happening in the community. I have a Zap that Syncs the Smartsheet with Outlook. This part works great. The problem I’m having is with a second Zap that is supposed to update the event, if an update is made to the event in Smartsheet. 

The screenshots show the search terms I’ve tried using and the error I am getting. Appreciate any help I can get. Thanks.

The below screenshot shows the information it gave me. From the icon beside the options it allows me to choose from, it looks like I’m choosing a Smartsheet field (see previous screenshots). I would think it would be searching Outlook in this step, and from the info in the below screenshot, it seems that should be the case? Am I confused?

To find an Outlook Calendar Event, you need to search using one of these “search terms”:

  • a value in the Event Subject
  • Unique ID for the Calendar Event which comes from Outlook
  • iCalUUID

The purpose of the Zap is to: 1. identify an event that was updated in the Smartsheet, 2. find that event in Outlook, and 3. update the Outlook event with the new information. Since the Event Subject may be the field that was updated, I don’t want to search on that.

I think searching on Unique ID makes a lot of sense but that is not an option I am given to select from in Zapier and it won’t let me type it in. Why is it not an option for me?

If you already have the Outlook Calendar Event ID saved in Smartsheet, then you do not need to use a Find Event Zap step.

  • Field: Event
    • Expects the ID of the Outlook Calendar Event to update

I haven’t solved it yet. When I remove the Find action there is not Event ID found. I’m wondering if it is because in the setup step I choose my outlook but the calendar is an added calendar in my account called Sales Events. That’s why I added the Find action, so I could select the Sales Events calendar that the events are added to.

To locate events in your Outlook "Sales Events" calendar, ensure your Zap is set up to interact with the correct calendar. Use the "Find" action to search within the calendar and verify that you have the necessary permissions to modify events. Make sure the Event ID is correctly retrieved for further automation. Test the setup using sample data, and if issues persist, reach out to Zapier Support for assistance with troubleshooting.
