Added fields in Airtable aren't showing up in my Zap

Hey folks,

Just circling back in here to share that the bug has since been closed. If you missed the email notification that went out here’s what you need to know:

We have reduced the field caching for this app to 1 minute, which means if you see stale data in the editor (or if you change a field in Airtable right after loading fields in the Zapier editor), you can refresh the fields after 60 seconds and the new fields should show up.

Previously the cache was 15 minutes.

That said, if you’re still experiencing issues please do reach out in the Community or get in touch with our Support team. In the meantime, happy Zapping! ⚡

Just came across the posts here, did some checking and found a bug report matching this behaviour where the fields are taking a long time to refresh and be loaded in the Zap.
 
@shachi.offline - it sounds like your case may be limited to an Airtable trigger, rather than a Create/Update Airtable action is that correct? If yes, were you able to find the missing fields by changing to a different test record sample as Troy suggested? And if no, let me know and I’ll get you added to the bug report as well.


For everyone else affected here I’ve ensured that you’re all added to the bug report which will help to increase it’s priority. I can’t make any promises around when it will be resolved but we’ll send out an email notification as soon as it is. And I’ll be sure to follow up here with any updates or alternative workarounds we come across while we’re still waiting on a fix.

Would it be possible to get an update on this issue? Zapier continues to fail to refresh/update the availability of fields within Airtable, when changes to the Airtable base are made within Airtable. Even when “Refresh fields” at the Zapier app Testing stage is clicked, the fields are not refreshed, this makes developing very tedious to the point where I may have to use Make.com to develop an automated emailer tool.

The field refresh/caching time for the native Zapier Email app/feature is still more than 1 minute.

Hi there @entreQ8,

Before we dig deeper into this, could you please send a loom.com video that shows the behavior where the refresh fields is taking more than 1 minute? This will help me look closer at the issue.

I'll be keeping an eye out for your response!

I believe there is still an issue related to this. Here is my version of this:

Problem: When an Airtable field is retrieved from Airtable “2. Find Record” I cannot search for it in a subsequent step so cannot add it.

Additional information: I have an existing field in Airtable called “Main Collaborators”. I have not previously used this field in my zap but now want to. For reasons unknown I cannot add it as input at my step “14. Create Document” but I can other fields.

The strangest part to me is I can run the zap and see in the logs that the “2. Find Record” step is working and I can see the “Main Collaborators” field is extracted as output. So why on earth does the searchbar in the UI not find it when I try to add it as input at “14. Create Document”?

At “2. Find Record” in a zap run I can see the field in the output:

 

At “14. Create Document” I cant find the input:

Troubleshooting steps tried: 

  • Refreshing fields had no effect
  • Creating a new zap by duplicating the old one had no effect
  • Reconnecting my Airtable account had no effect
  • Making sure I don’t have any ad blockers running

Workaround: I know of none. Help appreciated. Is there a way to put Zapier into “Raw” mode so I can stop relying on the buggy search interface? I think this might be frontend only issue where insert data interface is broken. If I want to insert a field “2. Fields Main Collaborators” how do I do this in raw text to force the automation to look for this field? Is it something like “2. Find Record Fields__Main Collaborators” perhaps?

I have found a bizarre workaround.

 

  1. Use a different Airtable account for the “2. Find Record” step.
  2. Step through the flow as usual
  3. The “Main Collaborators” field can now be found and set at the “14. Create Document” step
  4. Switch back to the other account
  5. Save the Zap. It’ll work as expected now.
