Quickbooks Online - New Invoice Trigger Unreliable


I have a Zap with a Quickbooks “New Invoice” Trigger that is not working reliably.
 

Sometimes the Zap will trigger instantly, other times it will take multiple hours to trigger, other times it won’t trigger at all.
There are never any errored Zaps, it either works or it doesn’t show up in the Zap history at all.

Because of this it is my suspicion that something is going wrong on Quickbooks end, so there isn’t much I can do to troubleshoot.

The Trigger is supposed to always be an Instant Trigger, so it seems like the quickbooks API is simply not sending some of the New Invoice Events.

The Zap is sending invoice information to our Airtable for Order Processing purposes, so if an invoice doesn’t get sent via the zap it can cause an order to go missing. So it’s pretty important for this Zap to work reliably.

Has anyone else experienced this and is there anything I can do to mitigate it?

Really wish I could provide an ETA on when this will be resolved by—I can only imagine how frustrating the disruption this is causing must be. Please know that the our engineers are working with QuickBooks to get this resolved as soon as possible. 

Here’s the latest update from the team:

We are receiving webhooks for these instant triggers from Quickbooks, but some users are experiencing significant delays of 24-48 hrs. Once the hook is received, the Zap is triggering immediately, as expected. We have an open case with Quickbooks requesting further details or reasons for the delays. There is no incident indicated on Quickbooks status page at this time https://status.developer.intuit.com/  and this issue does not appear to affect all users as we continue to receive the standard volume of hooks for this app as a whole.

While turning your Zaps off and back on can reset the webhook subscription with Quickbooks, this is going to prevent any delayed hooks from triggering your Zap when/if they are received later, so

we recommend you do not turn your Zap off and back on if you’d like those delayed hooks to still trigger.

 

We apologize for the impact to your workflows and will provide any updates as soon as we hear back from Quickbooks here.

We are having the same issue here - status page indicates no issues. 
Specific to zaps using the instant New Invoice trigger,  nothing runs - began April 1st and continues to be an issue today April 2nd 25

I’m so sorry to hear your Zaps are no longer triggering for new invoices, and that your experience with our Support team hasn’t been as helpful as expected ​@AddisonS. I did some checking and can see that our Support team have added both ​@Printerpat1 and ​@AddisonS to recently reported bug that’s affecting the New Invoice, Updated Invoice, New Payment, New Vendor, New Estimate, and New Sales Receipt QuickBooks Online triggers.

@KB-ICM, I spotted our Support team suggested that you turn the Zap off/on again to reset the webhook connection to see if that gets the Zap triggering again. Can you confirm whether that did the trick?

​As noted in that screenshot ​@AddisonS shared, we can’t provide any timeline on when this will be resolved by. That said, I’ve seen a number of reports where Zaps eventually triggered—sometimes with a delay of up to a day. So it appears that there’s currently long delays in the webhooks being sent from QuickBooks over to Zapier.

Could you all confirm whether your Zaps eventually triggered for the missing invoices? And if so, can you give a rough idea of how long the delay was?

Ugh. This is the absolute worst. I have workflows that Sync QBO with Airtable in over 10 different zaps. One of which is an elaborate 25+ step zap for complete processing. This integration no longer working has completely upended our workflows. I don’t know who is to blame, Zapier or Quickbooks, but this is just another reminder that you can’t rely on these large companies to not completely drop the ball. 

I had a debacle with Dropbox and Zapier integration last year that caused the same amount of anguish. I have to rethink where I spend my money and on what services. 


And to add….I even went as far as completely deleting all of my quickbooks connections and reconnected, to no avail. 


Having the same issue with last successful QBO Zap happening 3/31 and failure on all subsequent QBO triggers. Support has provided the same templated response and offered no solution of any type. We have a very simple integration but the data movement is vital to operations. Two days, zero functioning Zaps, over $10k in missed orders and nothing but a generic response essentially. This will quickly be a 6 figure issue and building out a custom API to replace this workflow, which appears to be the only real solution, won't happen overnight.

I highly recommend anyone using the QBO to GSheet functionality as an integral workflow immediately look to develop an alternative data communication pathway. If this continues with similar responses from support I can't see a future for this product offering.

My zap still has not triggered. This is totally unacceptable…people rely on Zapier for production-grade systems. Can you please provide a clearer ETA for a fix?

Same problem. It started on 4/2 for me. I have created 15-20 new invoices (the trigger) in QBO, and Zapier is showing no new zap runs. Messing up our workflows for sure.

TEMPORARY FIX: Same issue QBO webhooks not working.

I was able to edit and publish an old legacy Zap. 

This is working and also allows me to manually run Zap if there is a lag.

Not sure if it’s possible create new legacy Zap but it should be.

Same issue here, and they refuse to give a refund even though my zap that I’m paying to use takes 24 hours to bring in information, if it does it at all.

Really sorry that these issues are still occurring—I totally understand the frustration here. The team are still working on this and unfortunately, I can’t give any sort of timeframe for when it will be resolved. You’ve all been added to the list, so you’ll definitely get an email notification from us once a fixed has been rolled out. 

As ​Sommerfly mentioned, if you still have Zaps that used a legacy version of a trigger that was previously a polling, rather than instant type of trigger, duplicating or repurposing those other Zaps may get around the issue in the meantime. Thanks for sharing that potential workaround ​@Sommerfly, it’s much appreciated! 🤗

Another option (if it’s possible for QuickBooks to send you an email notification when an invoice is added/updated, or when there’s a new payment etc.) is to create a copy of your Zap and use Email Parser as the trigger. This would allow you to trigger the Zap based on the information parsed from those emails. Check out our Trigger Zaps from new parsed emails guide to learn more. That said, if those email notifications don’t include all the data you need, you could add a search step to retrieve the missing information from the invoice, payment, etc. Not an ideal solution, I know—but hopefully it helps as a temporary workaround to keep your workflows running while we work on a fix. 🤞

I’m having the same issue more or less.

Zap 1 - When a new invoice is created in QBO it creates a card in Trello

Zap 2 - When a new payment is created in QBO it creates a card in Trello

 

Both stopped working some time ago.

 

I know they are simple Zaps but without them we are so messed up.

 

Hopefully it will be fixed soon

TEMPORARY FIX - The Email Parsing Recommendation they provided does work with some drawbacks and limited functionality:

  1. You need to go enable “Email Me A Copy” Checkbox when sending an invoice. This will send you an email with the invoice number.
  2. Unfortunately, this means to use this method, you must SEND an invoice, simply doing Save and Close will not trigger the Zap.
  3. Run a Test Invoice to get a copy of that email.
  4. Duplicate your Zap and change the trigger to Gmail (Or another email provider).
  5. Set the Trigger to something like “When Recieving Email with Keyword”
  6. I had to add a Formatter Step to extract the Invoice Number from the Email Subject
  7. Add a Quickbooks “Find Invoice” Step - use the invoice number from the previous step.
  8. Update all of the values in your following Steps to use the Search Step instead of the Trigger.

There are some fields missing from the Search Step:

  1. Customer Phone Number
  2. Customer Company Name
  3. Invoice Rate

There may be more missing than this, but those were the ones I was using that aren’t available through the search step.

This is good enough to get me functional in the meantime, but still hoping for an actual resolution so that I can go back to using my original Zap with full functionality.


You can add me to the list too, please!  It started being delayed on 4/1 but now has just stopped working completely since 4/3.  And the task usage chart shows the huge just halt.  This one simple problem of the instant trigger not actually triggering is causing a huge problem in our workflow.  I have a case open, but I don’t think they were aware of the problem then.
