Question

Outlook trigger not recognizing emails with PDF attachments

I have a Zap which uses the “New Email Matching Search” trigger, and while it used to work perfectly it has stopped working within the last month and despite my most sincere troubleshooting efforts I have been unable to get it working properly - I’m very grateful for any assistance.

The Zap’s search terms are “subject: Wire Detail Report AND body: Your Wire Detail Report, which contains information about incoming and outgoing wire transfers, is now available for viewing. When you open the attached file”, and the email it is supposed to recognize has a PDF attached to it.

If I create an email which looks exactly like the one I’m expecting to receive and remove the attachment the trigger runs properly. Likewise, if I do the same thing and attach a Word document it also runs properly. But attaching a PDF - ANY PDF - has the effect of causing Zapier not to recognize the email. For clarity, I even created a single word PDF by ‘printing’ it from the same Word document I used to test the attachment issue, and that simple printed PDF wasn’t recognized - so I’m convinced that any PDF at all causes the issue.

Also, worth mentioning that I am aware of the “Has Attachment” trigger which might potentially be used instead of the “New Email Matching Search” trigger, and while this trigger DOES recognize the incoming email with the PDF attachment it lacks the metadata captured by the latter trigger which I need for the other tasks in the Zap.

Lastly I have gone through reconnecting Outlook to make sure it was functioning with Zapier - it is.

TLDR: the specific Outlook trigger “New Email Matching Search” won’t recognize any email with a PDF attached to it.

I am SUPER grateful for any ideas on how to fix this!

Hi @jehrlich

For us to have true context, post screenshots showing how your Zap trigger step is configured in EDIT mode with the field settings visible.

Thanks for sharing those screenshots here, @jehrlich! 🙂

I wonder if you might need to add HasAttachment:yes to the Search terms field to ensure it’s looking only looking at emails with attachments. And I’d also suggest reducing the amount of words for the body property, and wrapping them in quotes. That will get it to look for a match for the exact phrase and not each word separately. For example: Body:"When you open the attached file"

You can learn more about using Microsoft’s AQS (Advanced Query Search) terms here: Use Advanced Query Search to refine results

Can you give that a try and let me know if that works any better?
