My Zap triggering Facebook Instant Form to High Level isn't working consistently

Hi, I’m using Facebook Instant forms for my lead campaign and using Zapier to pass the lead info to High Level via Leadconnector. I’ve set everything up properly from the instant form to use as the trigger to the leadform account with the right API key to send the info to the right High Level account. The zap is published. 

When I’m doing my tests to see if the automation will work, whenever I fill out the form (I’m using Facebook’s Lead Ads Testing Tool), Zapier will sometimes be able to find the contact details of the test that I did and sometimes it won’t. It’s kinda like a 50-50 chance to fail or succeed which is weird. Now what’s weirder is if it does pick up the data. It just saves the lead information in step 1 (trigger) and doesn’t proceed with the rest of the automation (action steps).

If I do a manual test using Zapier’s test action, everything is working as intended. I’ve used Zapier for multiple clients and this is the first time that I’ve encountered this issue. Has anyone experienced this in your previous Zaps. If yes, how did you fix it? 

I really need help with this very unique issue that I have.

Hi @PMP Rod 

Good question.

Try testing with your Zap ON.

Then check your Zap Runs history details to see the DATA IN/OUT for each Zap step to help you troubleshoot.

Thanks for responding to my question. 

I did what you suggested.

So, I’m kind of lost at what to do. It’s able to fetch the info from the Facebook Instant Form and is able to pass the data to the action steps when testing the flow (Zap published) but it isn’t able to do it automatically.

Thanks for this. I’ll look into it. 

We’re also using Facebook Instant forms for our other ad accounts and those accounts did not have any issues with the zaps they’re using. 

But I’ll look into the documentations to see what we’re missing for this specific case.

Hi All, 

thank you for your help. I’ve followed all of the advices that everyone has given me but I still haven’t resolved the issue that we have at the moment.  

Here’s what I’ve done so far. 

I have been given all the needed access to everything in terms of the meta account pages and ad accounts. 
I have checked all zapier permission inside the business integration settings. https://www.facebook.com/settings?tab=business_tools&ref=settings
 

I’ve done my test with the zaps on and off. 
I’ve reconnected everything. 
I used my own Facebook account as a connection from Zap to Facebook. 
I created another FB Instant form to eliminate the chance of a single FB Instant form running 2 separate Zaps at the same time but to no avail.
Having done all of that, I’m still stuck with the problem of zapier still unable to automate the zap that I created even though it’s detect
Zapier is still able to pickup the data https://prnt.sc/eQgATa0ZzR5V but it’s still not running the zap automation. 
When I check the Zap history https://prnt.sc/EhQC9PFTAdhy No errors, or even runs are being detected. 

Has anyone tried other work arounds that might not have been mentioned in this thread? 


Really desperate for answers.

It sounds like you're experiencing inconsistent triggers and automation failures when sending Facebook Instant Form leads to High Level via LeadConnector through Zapier. Here are a few things you can check and troubleshoot:

1. Check Zapier’s Polling Interval

  • If you're on a Free or Starter Zapier plan, keep in mind that Zapier polls every 15 minutes for new data. This might cause some delays or inconsistencies in retrieving lead data.
  • Consider upgrading to a higher-tier plan for instant trigger support.

2. Verify Webhooks in Facebook Lead Ads

  • Sometimes, Facebook's webhook delivery can be inconsistent.
  • Go to Meta Business Manager > Events Manager > Webhooks and check if Zapier is properly connected to receive lead data.

3. Enable “Test Mode” for Better Debugging

  • Instead of using the Facebook Lead Ads Testing Tool, try submitting an actual live ad form and see if Zapier consistently picks up the data.
  • Some users have reported that the testing tool doesn’t always send data the same way as real submissions.

4. Ensure the API Key & LeadConnector Connection is Stable

  • Double-check your LeadConnector API key to make sure it hasn't expired or been changed.
  • Try reconnecting your High Level account in Zapier to refresh the connection.

5. Check the Action Step Logic in Your Zap

  • If the trigger step is saving lead data but not proceeding to action steps, there may be an issue with:
    • A missing required field in the action step.
    • A filter or condition preventing the automation from continuing.
    • Try enabling Zapier’s “Auto Replay” feature to retry failed runs.

6. Look at Zapier’s Task History for Errors

  • Go to Zapier > Task History and check if there are any error messages or skipped steps.

If the issue persists, try setting up a direct webhook trigger instead of using the standard Facebook Lead Ads integration. This can improve reliability and bypass polling delays.
