Improving Frame.io project workflow automation with Monday.com

I am attempting to create a partially automated workflow from start to finish in one zap sequence.

The issue I’m running into is how to have manual actions (in Monday.com and Frame.io) within the workflow trigger each step without having to create a new “board”

The workflow steps that would require Zaps are as follows with the desired automations in parentheses:
1. Client submits a project to Monday.com (brand new Folder created in frame.io matching the project name)
2. Editor uploads a video draft of the project into the new folder created in the previous step (status of project in Monday.com is updated AND the review link for this video is sent to the client)
3.  Client reviews the project and updates the status to either “needs review” or “approved” (if “needs review” - hold until editor submits new project and then repeat step 2)
4. (If “approved” project status is updated in Monday.com AND video is automatically downloaded to a pre-determined google drive space AND THEN automatically uploaded to a video transcription tool)

Is this all possible in one Zap board? Your thoughts are welcome.

Is there a reason you’re opposed to using multiple Zaps (what you call Zap boards) for this process? It sounds like there are variable wait times between each of the steps, which certainly poses challenges. While it may technically be possible to have this all exist in a single Zap, this is a great candidate for multiple simple Zaps instead. 

1. Multiple Zaps: You might consider breaking your workflow into a few interconnected Zaps that handle specific parts of the process. For instance, one Zap can focus on triggering the Frame.io folder creation when a new project is submitted in Monday.com. Then, another Zap can manage the updates based on editor uploads and client reviews.

2. Use Filters: To handle the conditional logic (like project approval status), you can leverage the Filter feature in Zapier. This way, you can dictate what happens next based on the status of the project.

3. Delay Steps: For steps that require holding actions, such as waiting for the editor to submit a new project, you can use Delay by Zapier to pause the flow until a specific date/time or for a set duration. You could use this setup if you really want to make the single Zap structure work.

4. Alternative Triggers: Consider using webhook triggers for more manual steps, such as when the client updates the status in Monday.com. This can give you more control over triggering subsequent actions.
