Zoom webinars to HubSpot: how are you syncing attendance and poll answers?

I’m trying to understand how people handle Zoom webinar data in HubSpot, since the native integration misses a lot: custom registration questions, per-session attendance on recurring webinars, and poll or survey answers.

For those who’ve built this with Zapier:

  • Which Zoom trigger do you use for attendance, and does it catch everyone (including people who join without a Zoom login)?
  • Have you managed to get poll or survey answers into HubSpot contact properties?
  • Where does the Zap break or need manual cleanup?

Would love to hear what’s working and what you gave up on.

I’d check attendance collection, contact identification and the webinar occurrence separately. A trigger can capture attendance but still fail to identify the contact or preserve the correct occurrence.

Before choosing a trigger, test one completed occurrence with a signed-out attendee, a repeat attendee and poll responses. Compare what the existing integration and candidate Zaps send with the available report/export. Look for missing attendees, usable identifiers, occurrence identifiers and answer fields. That comparison tells you whether reporting-based reconciliation is worth investigating rather than just adding more Zap steps.

I’d leave unmatched records for review rather than guess from display names. Repeatedly updating the same contact properties also replaces earlier values unless you retain history separately.

Do you need only the latest attendance and answers on each contact, or a history for every webinar occurrence?

Hi @WebhookEngineer

Building on WebhookEngineer's advice, here are direct answers to your three questions based on what the Zoom app offers (Zoom on Zapier).

  • Attendance trigger: New Webinar Registrant covers registration answers. For attendance you can use New Participant Joined Webinar or Meeting (one run per join), or run a Zap after the webinar ends and use the Find Meeting or Webinar Participants search to pull the full list. Whether people who join without a Zoom login show up with a usable email depends on what Zoom returns, so test with one signed-out attendee as suggested above.
  • Poll answers: the Zoom app doesn't have a poll trigger or search. One thing to try is the API Request (Beta) action against Zoom's webinar reports endpoint after the webinar ends. I haven't tested whether the connection has the scopes it needs, so please try it with one past webinar first.
  • Where it tends to break: attendees without an email, repeat attendees, and recurring webinars (key everything on the occurrence, not only the webinar). Also, updating the same HubSpot property overwrites the previous value.

question -do you need only the latest result on each contact, or a history per webinar session? If it's history, consider a HubSpot note or custom object per session instead of contact properties.

Let us know which and we can suggest a layout.
