Hi - I’m new to Zapier. I’m trying what seems like a basic function but I keep running into errors or I get a “successful” notification even though the action I’m seeking isn’t happening. Here’s Zap I’d like to create:

  1. Find newly uploaded files to a specific folder. (Let’s call it “Jazz” for example)
  2. Change the name of the newly uploaded file to add the date (and not time) the file was uploaded in the YYYY-MM-DD format.

I kept getting stuck in loops or are the file to replace field. Any advice or screenshots on how to do this would be a great help.

Thank you in advance for your patience!

Hi @KFIguana

Help us have more info by posting screenshots with how your Zap steps are outlined and configured in EDIT mode with the field mappings visible, along with any encountered errors.

@KFIguana

As possible workaround, is to use the GDrive API via this Zap action: GDrive - API Request

OR create a Custom Action for GDrive: https://help.zapier.com/hc/en-us/articles/16277139110157-Create-a-custom-action

Hello @KFIguana!

I’d be keen on seeing the Zap set up too, especially to see if there’s anything that stands out to me about a potential loop.

Here’s how I’d look to set this one up:

I use the {{zap_meta_human_now}} trick in the formatter to then format it into the YYYY-MM-DD format to rename the file to: https://help.zapier.com/hc/en-us/articles/8496275717261-Insert-the-time-your-Zap-runs-into-a-field

I gave this one a whirl to see if it’d cause a loop, and it didn’t - but I’d be keen to know if you experience otherwise!

Hi all- thanks for the replies. I’m going to post my screenshots. Hopefully this helps us get to the bottom of this. I feel like I must be missing something simple (and I’ll feel silly later).

Hi @KFIguana

For the field “Field to Replace”, map the ID of the File.

Thanks, Troy! My question is what should I be putting in that field if I want it to capture any file - regardless of name - that gets uploaded to that folder? This is where I’m getting confused. Do I need a file ID as an example or do I have to pre-determine the file name I’m changing? I ask because there’s a whole bunch of variously named files that will be uploaded to this folder.

Thanks!

Hi @KFIguana

For the field “Field to Replace”, map the ID of the File.

@KFIguana

To map Zap steps dynamic you need to map variables from previous steps, such as the File ID and what you have configured for the field “File/Folder Name”.

If you need to filter the files, you can add a Filter as Zap step 2: https://zapier.com/apps/filter/help

When in doubt, test it out.

For live Zap Runs, check your Zap Runs history details to see DATA IN/OUT for each step: https://zapier.com/app/history/

Hey folks! That worked! I think my confusion was the terminology “File Id”. The only option I had was “ID” and it had a grey example of a file ID. I thought that was a static option but I think that’s just an example of the formatting. Anyways, it works now so thank you! Appreciate your patience!
