Hello all!

 

I use Notion to take all my meeting notes, including writing action items in the page as I go. I want to create a Zap that extracts these action items and sends them as new tasks to my task manager, Skedpal.

 

Ive tried just about every configuration I can think of. What ends up happening most of the time is either the entirety of a new Notion entry gets added (e.g. entire meeting  minutes exported as 1 task) or zapier can only create the command for one item (e.g. just extract from meeting on 1/16) 
 

In an ideal world, I can enter an action item in-text in a certain format, and all of the information populates to proper task details in Skedpal. Example, typing brackets to ID the action item: [ Task A - due 1/1/26 - notes XYZ - time map - section ] 

 

At this point, I’d settle for less detail even though it might defeat the purpose of automating! Any and all advice welcome. Thanks in advance!

To create tasks in Skedpal based on specific elements from Notion entries, format your action items consistently (for example, using brackets and labels). Use Zapier's 'Formatter' or 'Extract Text' to parse these elements from Notion entries by setting a 'Find' action to locate and extract details. Then, map the parsed elements to fields in Skedpal's 'Create Task' action. This approach may require some tweaking and experimentation to fit your use case.

Hey ​@Greenclover, just checking in—were you able to use that Formatter (Text > Extract Text) action as Jammer suggested to extract the action items?

If not, you might want to explore AI by Zapier’s Analyze and Return Data action for this. If you pass it the meeting notes as text, it could go through them and extract the action items from it. If you’ve not worked with AI by Zapier before I’d suggest checking out our Use AI by Zapier to add a built-in AI action guide to learn more.
