Hey all,

We have a emails we are wanting to use to update specific tasks inside of Asana but having trouble making the connection between the two.

For example we get meeting confirmation emails with subject: “New Event: First Name Last Name - 11:00am Fri, Dec 13, 2024 - 15 Minute Discovery Call”

I want to take this email and update an Asana task or add a new sub-task. The only way I can see to connect is either knowing the task ID or the task name.

For our business, the subject and task name don't match. Also the task id won't be apart of the calendly email either.

Any ideas here would be really appreciated.

Hi @RyanCollective,

Welcome to the Community.

To update an Asana task or add a sub-task based on emails without a task name or ID in the subject, you can try these approaches: Use unique email content (for example, a name or meeting details) to find the task via Zapier's "Find or Create Task" in Asana action. Alternatively, leverage custom fields in Asana to match data like the sender's email or a meeting identifier. Configure the Zap to create a new task or sub-task if no match is possible to ensure the email information is captured in Asana.

Let us know if you have further questions.

Hey @JammerS thanks for the ideas. I have used the subject in an email to match with a task. I don’t have access to the custom fields, maybe someday. Thank you for the ideas!

That’s awesome @RyanCollective! A huge thanks to @JammerS for pointing you in the right direction!
