Hey everyone,
I’m running a 5-touchpoint, 20-day cold email campaign using Instantly. I want to use Attio as my CRM and keep it updated automatically through Zapier.

Here’s what I’m trying to do:

  • When Email 1 is sent from Instantly, the contact in Attio should be updated to “Touchpoint 1”

  • When Email 2 is sent, it should update to “Touchpoint 2”

  • Same for emails 3, 4, and 5

  • If someone replies, the stage should update to “Replied”

  • If the email bounces, it should update to “Bounced”

I haven’t set up anything in Attio yet - no fields or contacts. I just want to understand how to set this whole thing up from scratch and how the Zaps should be structured. Mainly need help with:

  • What fields to create in Attio

  • How to send the right webhook from Instantly

  • How to find and update the correct contact in Attio through Zapier

Would really appreciate a step-by-step if anyone has done this before.

Hey there, @Warhawk 👋

Just came across this and wanted to check in on how you’re getting on. I noticed you reached out to our Support team and they shared a suggestion, but I didn’t see a reply—so I’m not sure if you’ve had a chance to view it yet. I’ll share it here in case it’s helpful:

I understand you're looking to integrate Instantly with Attio through Zapier to automate updates in your CRM based on your cold email campaign. Here's a recommended workflow to set this up:

1. Set Up Attio Fields:
- Create custom fields in Attio for each touchpoint (e.g., Touchpoint 1, Touchpoint 2, etc.).
- Create additional fields for Replied and Bounced statuses.

2. Configure Instantly Trigger:
- Use the New Event trigger in Instantly. This triggers when an activity occurs, such as an email being sent, a reply, or a bounce.

3. Set Up Zapier Workflow:
- Trigger: Use the New Event trigger from Instantly for each type of event you want to track (e.g., email sent, reply, bounce).
- Action: Use the Update Record action in Attio. Configure each Zap to update the correct field in Attio based on the event type (e.g., update to Touchpoint 1 when Email 1 is sent, and so on).

4. Finding and Updating the Correct Contact:
- Ensure each contact in Instantly has a unique identifier that matches a field in Attio (like an email address) to properly match and update records.

Want to make sure you’ve got everything you need, so please let us know if their suggestion worked for you. And if you ended up working with an expert as Troy suggested, we’d love to hear more about how it turned out. 🙂
