I started building Zaps for a client a while back. At some point we added customer-facing emails, coded in HTML right in the email steps. Then it grew one flow at a time, and now there are a lot of them: reminders, follow-ups, review asks, invoices, and so on.
Where it's at now:
- Dozens of email steps, each with its own HTML template
- Everything is bilingual (2 languages), so most emails exist twice
- SMS goes out through Quo (what they use), often in the same flows as the emails
- Subscription management is a workaround, not a real preference center
- No stats: no opens, clicks, or bounces
- Deliverability isn't in our control, and we have no way to monitor it
It works, but it's getting harder to maintain and we're flying blind on whether emails land and get read. I'd like to move off it.
Has anyone been in this situation? What did you move to, and how did you handle the transition? Specifically:
- Did you keep Zapier as the trigger layer and hand off sending to an email platform, or move the logic too?
- Transactional platform (Postmark, SendGrid, etc.), marketing platform, or the CRM's own email tools?
- How did you deal with shared templates so a design change doesn't mean editing every Zap, especially across two languages?
- Did you move SMS to the same platform, or keep it separate?
- Anything you'd do differently?
The CRM is HubSpot Starter, if that changes the answer.
