Question

Limiting Users to 8 Bookings in Calendly via Zapier and Google Sheets

I want to set up a system in Calendly where users can book up to 8 one-on-one sessions but no more than that. I'm considering using Zapier + Google Sheets to track the number of sessions each user books.

Here’s what I’m thinking:

  1. When a user books a Calendly session, Zapier logs their email and tracks the number of times they’ve booked in Google Sheets.
  2. If they have booked less than 8 times, they can continue scheduling.
  3. Once they reach 8 bookings, I want to prevent them from scheduling additional sessions.

Is this possible? If so, how can I automate the restriction so that Calendly blocks bookings beyond 8? Would I need a separate integration for this, or can it be done within Zapier?

Would love any insights or alternative solutions!

Hi @Ariel Wood

Try this, use Calendly Single Use Scheduling Links:

Hey there, @Ariel Wood! 👋

Just checking in—were you able to get it sorted by using those single-use links Troy suggested, along with a filter to check that the current number of bookings isn’t greater than 8

Keen to make sure you’re all set, so feel free to reach out if you’ve got any more questions or are still stuck. 🙂
