Im new,

 

AI works well when answering calls from new clients and collecting information. But how do I add the name, email, phone number, details, etc., to an email and send it?

Here's how you can do it:

Step 1: Choose the Trigger (AI Call Service)

  1. Trigger App: Select the AI calling service you're using (e.g., Twilio, JustCall, OpenPhone, or a custom webhook).

  2. Trigger Event: Choose an event like "Call Completed" or "New Call Transcript."

  3. Connect your account: Authorize Zapier to access your AI calling service.

  4. Test Trigger: Ensure the call data (name, email, phone, details) is being pulled correctly.

Step 2: Extract Data (If Needed)

  • If the AI call provides a transcript, you can use Zapier Formatter or ChatGPT in Zapier to extract details like name, phone, and email.

Step 3: Send an Email with the Data

  1. Action App: Choose "Gmail" (or Outlook, SMTP, or another email service).

  2. Action Event: Select "Send Email."

  3. Customize Email:

    • To: Enter the recipient’s email (e.g., your team or CRM).

    • Subject: "New Client Inquiry from {{Name}}"

    • Body:

      Name: {{Name}} Email: {{Email}} Phone: {{Phone Number}} Details: {{Call Summary}}

flow is a customer calls the  Ai receptionist.

They take the detail and send to outlook email.

Also book a meeting using Microsoft Bookings

Zapier has a reactionist AI

I have a number with Justcall that will point to Zapier .

the Zapier AI will  answer the call hopefully make a booking using Microsoft Booking and send a email to Outlook.

Sorry I'm very new so forgive me if i don't answer your questions correctly.


i still cant connect Justcall to Zapier.. i call the number and it does not connect to Zapier AI.

 I followed the guides and linked the 2 together. i get “”please leave a message after the beep” i did not set that up]
