How to upload PDF bills from Dropbox to QuickBooks Online using Zapier


Hello, I’m new to Zapier.

I would like to create a ZAP that monitors my Dropbox folder Bill Attachements for new PDF documents. Then I would like to upload the PDF to the corresponding Bill in Quickbooks Online.

So if I have a scanned invoice from a supplier I would like to upload the backup of the existing Bill in Quickbooks with the same file name as the PDF.

IE Dropbox\Bill Attachements\Rogers 123.pdf = Quickbooks Online Bill Rogers 123

Here is a general guide on setting up a Zap in Zapier to automatically upload new PDFs from a Dropbox folder to corresponding bills in QuickBooks Online. The process involves setting Dropbox as the trigger app with the "New File in Folder" event and QuickBooks Online as the action app with the "Upload Attachment" event. A "Find Bill" action is set up in the "Find Data" step, using the Dropbox file name as the search value. The PDF file from Dropbox is selected for the "Attachment" field to upload to the bill in QuickBooks Online. It's important to note that the file name in Dropbox and the bill name in QuickBooks Online must match strictly for this process.

Hi JammerS,

 

I don’t see an option of :

QuickBooks Online as the action app with the "Upload Attachment" event.

I’m also confused on the steps after. The AI wasn’t able to work either.

 

Is there a way for you to export the steps as you discussed?

 

Many thnaks, this will save me 100’s of hours of work.

I apologize, but Zapier doesn't support a direct "Upload Attachment" event for QuickBooks Online. To work around this, you can use a third-party service like Google Drive or Dropbox to upload your file and then include the shareable link in the description or memo of a QuickBooks transaction, such as an invoice. While this doesn't attach the file directly, it keeps it accessible. Also, Zapier doesn't allow exporting or importing Zaps, so you'll need to recreate the steps in your account manually.
