How to show to my client that I do not have access to an Email account

Hi,
I am developing a procurement tool for my company which involves the proposal reception and then, the contest opening (take the offers and select the most suitable one).

I have created a ZAP in an email account which take all the INCOMING messages and hold them until the proposals due date. Then, it sends all the proposals (messages) to another mail, which I am able to open all the quotes.

The only problem that appears, is that I have to show to my clients, that I do not have access to the first email account, and I am opening al the proposals at the same time.

Could you give me some pieces of advice to improve my process using ZAPS?
