We are a non-profit trade body. We have 22 committees/groups. Previously we (23 staff, with most staff managing 1 or 2 committes/groups each) sent Outlook calendar invites (with a Teams link) for meetings to the membership of each group. This wasn't ideal from GDPR, as you can see the contact details of those attending etc. The size of each group list ranges from 50 - 300.

We've moved our data to Hubspot. The only way to try to replicate what we were doing for meetings, is to create an iCal file from the Outlook meeting in our calendars and then offer that via a marketing/bulk email in Hubspot for members to download. 

Members aren't downloading the iCals and staff are feeling panicked about members not attending.

I've looked at integrating Eventbrite & AddEvent, but you then need to create the meeting on their platform. That is then a 3 part of the process - Outlook, Hubspot + third party. So I am wondering if Zapier can help make these easier for staff. 

What I would really like to achieve is:

  • Member is sent marketing email in Hubspot with a link to ‘accept meeting’
  • Member clicks on the link and this is recorded in Hubspot
  • Member is then sent an Outlook calendar invite for that meeting (ideally the ‘same’ Outlook calendar invite that the staff member has in their calendars)

I have looked at the templates for Outlook + Hubspot, but this isn’t covered.

Try creating this workflow idea.

  1. Create the Outlook Calendar Event as Normal
  • Your staff creates a meeting in their Outlook calendar with the Teams link and agenda
  • Make sure the event title is unique (e.g. includes committee name or date)
  1. Build HubSpot Marketing Email

           Use Hubspot to send a marketing email with:

  • Event description
  • “Click here to confirm attendance” CTA (linked to a HubSpot form or tracked CTA URL)
  1. Zapier Trigger
  • Trigger: “New form submission” (or tracked CTA click) in HubSpot
  1. Zapier Action: Create Outlook Event for the Member
  • App: Outlook (Microsoft 365)
  • Action: “Create Event” or “Add Attendee to Calendar Event”
