How to reply to Google reviews using ChatGPT with email approval?


Hello, how can I reply to google reviews through Chatgpt and be able to get an email with a reply and if its a YES then it would post?

There are a few ways to accomplish this, but one easy solution that comes to mind would be to use a two-Zap solution.

 

Here’s a rough outline of how this would work:

 

Zap 1:

  • New Review Trigger in Google Business Profile;
  • Conversation or Conversation with Assistant Action in ChatGPT (consider using our internal AI by Zapier tool as well);
  • Send Email action in Gmail.

Zap 2:

  • New Email in Gmail (you can possibly create a new Label or Inbox specific for these replies, to aid filtering);
  • Filter by Zapier Action: Define the criteria with which you want to Filter these emails by (for example, the word YES in the Subject line, or in the body (Filter by Zapier is case-sensitive so using an all-caps solution would help make sure other emails containing the word “yes” don’t pass));
  • Create Reply Action in Google Business Profile.

I got a bit confused since this is my first time using Zapier. I appreciate Sebastian's recommendation, but I just want to clarify how many Zaps it would take to achieve what I need.

Here’s what I’m trying to set up:

  1. A new Google review is posted.
  2. A response is generated based on specific criteria I provide to ChatGPT.
  3. The response is sent to my email for approval.
  4. If I reply YES, the response gets posted to Google.
  5. If I reply NO, a new response is generated and sent for approval again until I approve one.

Can this be done in two Zaps, or would it require more? If it requires more than two, how many Zaps would be needed?

Additionally, if I wanted to automate responses entirely (without email approval) but still follow a structured outline for responding to Google reviews, how many Zaps would that take? Could this be done in two Zaps, and if not, what would be the optimal setup?

You may automate Google review responses using Zapier in two ways. With email approval, one Zap triggers a new review, generates a ChatGPT response, and emails it to you; a second Zap posts the reaction if you approve. Without approval, a single Zap generates and posts the response automatically. While full automation saves time, manual approval ensures quality. Fine-tuning ChatGPT's responses may require some trial and error.

  1. With Email Approval: How do I structure the two Zaps to ensure that I receive the email, approve or reject the response, and have it post automatically upon approval?
  2. Without Email Approval: How do I set up the single Zap to generate and post responses automatically while ensuring they follow a structured outline?

Also, I tried setting this up a couple of times using GPT-4o, but I kept getting errors. Which version of GPT should I use for this? And how do I train it to reply based on the specific structure and style I want?

A detailed walkthrough would be really helpful since it's my first time using Zapier. Appreciate the guidance!

With Email Approval:

  1. Set up your first Zap: This Zap should be triggered when a new post or question appears (depending on your data source). Then, add an action to send an email (using Gmail, Outlook, or any other email app) to yourself for approval. Include all the necessary information in the email so that you can decide whether to approve or reject it.
  2. Set up your second Zap: This Zap should be triggered when you receive an email (from the same email app as above) with a specific subject or label indicating approval. Then, add an action to generate and post a response.

 

Without Email Approval:

  1. Set up your Zap: This Zap should be triggered when a new post or question is posted. Then, add an action to generate a response (GPT-3 or another AI model) and another action to post the response.

 

There seems to be a misunderstanding regarding the use of GPT-4o. GPT-3 is the latest version of OpenAI's language model. If you're getting errors, it might be due to the specific settings or inputs you're using. You can provide examples in the' prompt' input to train GPT-3 to reply in a specific structure and style. For example, if you want it to generate responses in a professional, helpful style, you can include a few example interactions in that style in your prompt.
