How to create events in Microsoft Outlook from WordPress appointments?

We tried to connect Microsoft Outlook + WordPress using Zapier. But it’s not working because we use custom elements in our Wordpress website to create events. 
The appointment is connected to a Woocommerce order. Do you know how we can customise the integratoin to send all the appointments from Wordpress to Microsoft Outook?

Are the appointment details like date, time etc. contained within the details of the WooCommerce order?

If so, you could potentially use WooCommerce as the trigger for the Zap instead of WordPress:

  • TriggerOrder (WooCommerce) triggers when a new order is made.
  • ActionCreate Event (Microsoft Outlook) creates an event using the appointment details from the WooCommerce order.  

 

Do you think that approach could work? Or would the WooCommerce orders not contain the necessary details for the appointment?

Thank you so far, it’s working now using the Zapier Woocommerce integration. 

But i still need your help. The current situation is like this:

- Wordpress Website + Woocommerce

- You can book a service, the service is a Woocommerce product

- At the moment there is 1 consultant for every service

- With Zapier we connected his outlook calendar with the website

- So the moment someone is trying to book, the system is checking his outlook calendar what time slots are available.

- After booking, the time slot will be blocked in his outlook calendar too.

 

Right now we want to add multiple consultants. So we need integrations with multiple outlook calendars. How can we do this? Does every consultant needs to create a zapier account? Or can we add multiple zaps within the current account to connect the calendars?

I’m jumping in to see if I can help!

Each consultant doesn't need their own Zapier account. You can manage all the Outlook calendars from your current Zapier account itself.

Here's how it works: You just need to create a separate Zap for each consultant's calendar. When setting up each Zap, you'll connect to the respective consultant's Outlook account, and set up the triggers and actions just like you did for the first consultant.

Also, you might want to use a Filter step in your Zaps. This will allow you to control when your Zap runs based on specific conditions. For example, you could set up a filter to only proceed with the Zap if the booking is for a specific consultant. This way, you can ensure that each booking checks and blocks the correct calendar.

So, whenever a service is booked, the system will check the right consultant's Outlook calendar for available time slots and block the booked time slot. It's like having a personal assistant for each consultant!

Just a little heads up - each Zap will count towards your Zapier task quota. So, make sure your plan supports the expected volume of bookings.
