Wondering if someone can help. 

 

I am working Zap which is triggered by  a form which our team would complete for a meeting with a new client. 

 

There are 4 options available in the form in regards to the location of the meeting

  • our boardroom - Zap completed to create calendar event on our boardroom 
  • teleconference with team member - Zap completed to create calendar event on team members calendar with client details and phone number
  • zoom conference - Zap complete to create calendar event on team members diary - the zoom conference meeting room - and to auto create zoom conference and send confirmation to client

The one I am struggling with is Teams Meeting. From what I can see, Zapier does not allow you to create a teams meeting as an action from a trigger. If I am wrong I would love some guidance on how to do this. 

 

If I am right, has anyone got a work around they have used before that would work? 

 

Any help greatly appreciated.

It’s likely the Micrsosoft Teams API would have to be used to create an event.

MICROSOFT API doesn't seem to allow generation of teams meetings. So whilst a good idea suggested by @Troy Tessalone for other tasks, I don't believe it will work on this occasion. 

 

I am working on a workaround at the moment which includes 

  • creating a new calendar in outlook that has option switched on to auto create a teams meeting for every event created
  • setting up a zap action to create an event on a new calendar when trigger form completed 
  • creating a zap action that reads this calendar and harvests teams meeting information from the message body of the event 
  • creating a zap action that sends email to client and team member internally with details of teams meeting harvested from new calendar event 
  • creating an action that generates a new calendar entry on the team members personal calendar with with meeting details harvested from auto generate teams meeting calendar. 

I have not completed the workaround yet (had several other tasks dumped on my desk marked priority) but once I have tested it I shall return with an update. 

 

It is super frustrating that Teams won't allow a simple integration. It is leading our firm to potentially look at only doing online meetings via zoom. Too many paths in the current work around lead to too many potential breakdown points. 

 

And manually having to trigger teams meetings on specific clients will draw too much time from support staff when their time could be set to more productive tasks.

I understand your frustration with the lack of direct integration with Teams. You might want to consider contacting Microsoft Team support for additional assistance with their API limitations.
