When you make an event in a Google Calendar, you have the option to add a notification.

 

Is there a way to use Zapier to automatically add a notification via email 2 days before the event?

Zap steps:

  1. Trigger: GCal - Event Start
  2. Action: Gmail - Send Email

 


Thanks for this.. I think I need to hire someone.. Here is what I am trying to do.

 

I make a Google Calendar event - say I put something in the name to be used so Zapier knows to start the zap.  Like the word “discovery”

 

Then the zap sets the email notifications in the calendar.. There are 2 notification options, I want the email notification.  It should send to all participants.

 

Alternatievely, we just use Zapier to send the email notifications to all participants in the event.  No idea which to do

If you are using a Zap to create a GCal Event, there are fields related to “Reminders” that can be configured.

@Troy Tessalone do you think it is better to make the event then have zapier do the email reminders, or have a zap make the event with everything built in?  It’s always the same type of event.

 

The reason I ask is this particular type of event, needs always the same description and even other information in the event

Depends on what the workflow trigger event would be.

Outline a real life example of what your side does when it comes to creating the GCal Event and what other apps are involved.

If you want custom reminders, then you will need to use a Gmail Zap step.

This is for setting up particularly an initial sales discovery zoom and putting it on our Google Calendar, then making sure the event is setup to send out reminders via email.

 

So what happens is we agree to set up a zoom event with a prospect.

 

We get their email(s) and a few of our team members and make the Google Cal invite.  It is a particualr type of event - perhaps we use the same word in the title of the event like - Discovery Zoom

 

Then we make the event for the day, amt of time and who is invited.  We add the zoom link to the event.

 

Then we want 2 reminder by emails to be setup in the Event.  Right now we have to remember to go in manually and set those up.

 

The purpose of the zap is to have this done automatically.

 

But if we are doing this with a zap, maybe the zap can put in more info into the Gooogle event like the description of the event… Hope that makes sense.

@Troy Tessalone thanks for sticking with this and I think this is maybe the best answer of all.. We have Calendly and I am going to connect with them to see how to do this.. Such a great idea vs having someone write code and use the API, if they have something already then we are golden!

 

I think the starting point is where do we make the original event, if we can do that with Calendly then I am super excited to just use that … thank you so much for taking all the time to help.. this may be the best idea yet!
