How do I set up email reminders for HubSpot tickets in a pipeline stage for too long, based on last modified date?

Hello!

 

I hope you all can provide me with some clarity. I want to get reminded by email when a hubspot ticket has been sitting on a stage in a pipeline for too long (approximately 1 week). I’m not sure which one I should use, last modified date, last activity date, or something completely different. Also, I used the filter option and I was wondering if I can I use that to say “if last modified date is greater than 7 days then email me”. My pipeline in hubspot has 5 stages. I only ever want a ticket to stay in a stage for 1 week. I am handling multiple tickets so perferably some way to manage that as well.

Hi @PDXeducation 

If you HubSpot plan includes Workflows, then you may be able to configure a native HubSpot Workflow to be reminded.

Unfortunately we don’t have that feature in our plan. I was hoping I can work through on zapier. Thanks for your response!

Try these Zap steps:

  1. Trigger: HubSpot - New Ticket Property Change
    1. Ticket Status
      1. Used for Pipeline Stage
  2. Action: Delay - For
    1. Delay for 1 Week
  3. Action: HubSpot - Find Ticket
  4. Action: Filter
    1. Ticket Stage (from Step 1) exactly matches Ticket Stage (from Step 3)
  5. Action: Gmail - Send Email
