We have setup a brand new Gmail account for feedback purposes. I need to set up a zap that sends an automated acknowledgement response to anyone that emails us on that account. To do this:
- I set up a trigger for New Email
- The next step is “Reply to Email” and setting up an Action event, in which i’m being asked to select a “Thread”. I assume this would set up a Zap for that specific thread


I’m looking for an Action event where ANYONE that sends an email to that account gets an automated acknowledgement response. I’ve tried using “Everyone”, “All”, and “Contact email”, but those are not available options to chose from.

Any help appreciated for this, and thanks in advance!

Let me clarify—are you looking for a way to dynamically reply to any email and respond within the same thread? If so, try setting up the “Thread” field using a custom value, and then map the Message ID to it.

@Sync9-Solutions  Thanks for your response! Yes, im looking for a way to dynamically send a message to whoever has emailed.
I did the above as you mentioned. While testing it, it asks me to add something in the To/Cc/Bcc field.


Is there an option to select “Sender”, so that the email goes to the Sender?

I’m basically trying to automate a response to our customers saying “Thanks for contacting us. We will respond back asap”.


Yes, you can map the “From Email” to the “To” field (In this case, you will find the “From Email” in your Gmail node) to send your message to your customer. When you say Sender, do you mean to also send a message to yourself? You can input your email to the “Cc” field so you can also have a copy.


@Sync9-Solutions After Mapping the From email, it still asks me for an actual email address in the To field, which I can’t know until the email is received, and then i have to do this manually.

So this is where i’m getting stuck (again, thanks you for all the help so far!):

 

 

  • Extracted the Senders (Customers) email to the To field. For the “Reply to email step”, I have added that extracted ID to the To field
  • Testing this still gives me this error. I’m assuming since the ID has “no data” in it, it doesn’t recognize the senders email?

    I can’t know what the Customers email will be until they send it. In that case, will i have to do this all over again for every new customer email the we receive?
    I’m trying for this to recognize the email address sent by the customer, and reply to it with an automated message. I’m clearly missing something here!

If you're setting up a Zap to reply to incoming emails automatically but are having trouble with the "To" field in the "Send Email" action. There's no need to create a new Zap for each sender—Zapier can automate this. The issue may be how the sender's email is extracted or mapped. Ensure it's correctly pulled in the previous step and properly mapped to the "To" field, and test your Zap by sending an email from a known address to confirm it's working as expected.

I noticed that you're using the "Formatter by Zapier" step and mapping the sender address from there. You can actually skip that step and map the sender address directly from the first Gmail (New Email) node instead.

You're right, and thanks for catching that! The "Formatter by Zapier" step isn't needed here—you can directly map the sender's address from the Gmail (New Email) step. Select that step during setup, find the sender's address in the dropdown, and map it directly. This simplifies your Zap and improves efficiency. Let us know if you need any more help.


@Sync9-Solutions ​@JammerS Thank you both for your help! It is now working properly. By mapping a senders mail directly, it now works for any new sender that has sent an email by replying to them with an automated response.
