How do I schedule emails to go out after an event end date on zapier tables ?
I'm trying to set up a follow-up process for events that my business runs. I currently have the event details pulled into a Zapier Table from our booking platform.
What I'd like to do is automatically send a follow-up email to customers every day for 5 days, starting one day after the event ends. Some of our events are just 1 day long, while others run up to 4 weeks, so I've made sure the Table includes the event end date.
The goal is to:
Wait until 1 day after the event finishes.
Send 1 email per day for 5 consecutive days.
Have emails sent around 12:00 PM (midday) each day, rather than overnight or at random times.
I tried using Zapier’s "Delay" feature, but the emails were getting sent at 3 AM for some reason, and I couldn’t control the sending time properly.
Has anyone set up something similar? What's the best way to schedule these follow-up emails at a consistent time each day after an event ends?
Thanks in advance!

The “Delay Until” action should work. If it’s sending at the wrong time, you may want to check your timezone settings in Zapier and Zapier Tables. If it’s *always* wrong by the exact same time difference every time, you can adjust the time in the delay step:

Thanks, I have changed the time in Zapier to reflect my timezone but then ran a trial zap of even end date + delay of 20 minutes and nothing has been sent out
Did you trigger it as a live zap or in building mode?
If it was run as a live zap, can you look at the zap run details and see why it wasn’t sent? Does it show that it’s still waiting? Or is there an error on the email step?
If you can post screenshots of all your editing mode action steps as well as the run details, it will help paint a better picture. Be sure to remove any sensitive information.

I can see now it was set to LA time which is incorrect, I have changed this on my Zapier account so why is it still showing on this ?
If this run was triggered before you updated your account settings, that could explain why it’s still showing there. Also, I’m not entirely certain, but I think that Zapier tables may have separate settings. You might want to check that as well.
if it doesn’t appear to be any of the above, I would just send another test run through, and see if it updates to the correct time zone.

I added the date formatter which seemed to part solve the problem but now on the delay function its showing Data in as “
delay_until_date
April 28 2025 12:35:00+20 minutes “
where on data out its showing “
Release At
2025-04-28T20:35:00+01:00 “
Where is the disconnect happening ?
Hard to say at this point. You might want to try posting in the troubleshooting forum and see if anyone from Zapier support or a community manager can chime in. Have you opened a support ticket yet?

Not yet but I will now, thank you for your help
Hi @dnmgn,
Welcome to the Community.
Let me try to troubleshoot with you in this issue. To automate a follow-up process by sending emails consistently after an event ends, you can combine Zapier's Delay, Schedule, and Looping features. Start by setting up a trigger, such as adding a new row (representing an event) in your Zapier Table. Then, include a Delay by Zapier step to delay the process until one day after the event's end date, using the table's event date. Add a Schedule by Zapier step to run the Zap at noon daily. Next, configure a Gmail (or your chosen email service) step to send the follow-up email and use Looping by Zapier to repeat the scheduling and email steps for five consecutive days. Remember that the Schedule by Zapier feature works only if the Zap isn't already running, so if an event ends later than 12:00 PM, the first email might not align with the scheduled time. To resolve this, add a Delay step to ensure the Zap begins at 12:00 PM the following day. This setup ensures timely follow-ups tailored to your event schedule.
I hope this helps. Please don't hesitate to contact me with any further questions or concerns.

Hi, thank you for this. I have an issue though as I went to add the schedule step but I am unable to as it says no action available. I can only seem to add schedule as a trigger step not an action
Hi @dnmgn,
You can try this one. To schedule follow-up emails at a specific time each day, use your current trigger (for example, adding a row in Zapier Tables), then add a “Delay by Zapier” step to pause until the desired time. After the delay, send the email using Gmail or another service. For multiple follow-ups, use Google Sheets to log each email and set up separate Zaps that trigger new rows and delay until the scheduled time. Send the corresponding email.
I hope this helps! Please let me know if you have further questions or need additional assistance.
