As part of a sales flow, there are certain leads that need to be escalated from our sales admin to our sales lead. When escalating I’m looking for one step (ideally triggered from Chrome extension) where I can add a reply to a thread (but don’t send) and add the needed forward address to BCC. The CRM we’re moving to either supports syncing ALL mails replied to (not ideal) or ones where the forward address is added to BCC. So the sales admin will need to remember to add the forward to BCC and have quick access to the address when needed.
I found a workaround to my use case as detailed here but it uses polling so requires the admin to wait 2 minutes and refresh their screen.
I’m ideally looking to create an instant trigger. Go to Chrome extension and select the specific Zap and boom. Template reply is created as a draft and BCC address added.
Thanks, Troy. I’ve set this up already but what’s missing between action in the chrome plugin to creating the draft reply is ‘Which mail do I create the reply?”
When prompted to select the thread I either have to select one as part of the Zap (isn’t correct as it will be a new email each time) or figure out how to either search for the right email. Or better, yet set it somehow to the current one I’m viewing.
So here’s my ‘draft gmail reply’ settings where I can choose the thread. Either set one specific email in my inbox forever or custom.
In theory, the Zapier Tab URL option should be great. If it could look at the specific browser url, it contains the message ID of the correct email to reply to. But in the settings, it seems to hard code zapier.com.
So I’m stuck on how to I find the right email to add the draft reply to?!?
@route38
This available variables in the screenshot have dummy data values.
Try turning ON and testing live.
Then check the Zap Runs history to see the DATA IN/OUT for each step to help you trace and troubleshoot: https://zapier.com/app/history/
I just wanted to check in here to see how things are going on this. Were you able to solve things by setting up the Zap using the fields with those example “dummy” values as Troy suggested?
Keen to ensure you’re all set here so let us know if you’re in need of any further help at all!
unfortunately not as it didn’t help.

Hi @route38,
I’m jumping in to see if I can help!
Have you tried remapping the “Search String” field of the “Find Email” step to the Title data of the Zapier Chrome extension instead?
I'll be keeping an eye out for your response!
Sorry for the delay. I’m pretty sure I responded a few days ago but …
Yes, I’ve tried that but still isn’t working.
If possible to share specific screenshots or a video on how to set it up properly (if possible), would be amazing.
Hi @route38,
Could you please share an update screenshot of your setup? This will help us get a closer look and provide a better suggestion.
