My zap is connecting LinkedIn lead Gen Forms to Zoom Event - Webinar. THe new registrants are coming with status "Pre-register invited" as oppose to "Register". The status "Registered" is acquired when you fill in the Zoom Event form directly, but not when creating the lead via Zapier.

The screenshot shows how the logs created via Zapier have the different registration status:

I'm using the Zoom Events app, not the regular Zoom Webinar one. I appreciate this might be a Zoom account config potentially. Any insights are welcome. Thanks!

Hi @Luma Bendini

For us to have more info, post screenshots with how your Zap steps are outlined and configured in EDIT mode.

Hi @Luma Bendini 👋

When setting up the Create Webinar Registrant action was the Send Confirmation Email to Registrants field set to True?

If so, I’m thinking that could be why it’s displaying as “Pre-register invited”. Similar to how email apps handle double opt-in subscriptions.

Is that the case here or was that field set to False instead?

Just coming back to say that I’ve got a confirmation from Zoom Dev team that any attendees generated via integration will be registered as “pre-registrants”.

The “Send Confirmation Email to Registrant” is required so the person receives an emails to then go over the registration process. Not ideal, because at the end the person will have to register twice.

Thanks for the update here @Luma Bendini🙂

I  had a look at the Add a webinar registrant API endpoint for Zoom and saw a note about that too - “Scheduling a webinar with registration requires your registrants to complete a brief form before receiving the link to join the webinar”.

Can you confirm whether the webinar has Automatic Approval enabled? Just wondering if you sent it to automatically approve the registrations and set the Send Confirmation Email to Registrant field to False, whether that would prevent the registrants that are added by the Zap from having to fill out another form.

Looking forward to hearing from you on this!

@SamB even with Automatic Approval enabled and no confirmation email sent - registrants still need authentication at some point and will be asked to fill in the form, it can be at the time of the event. And the most strict authentication is available for this pre-registrants (which is the strange part to me).

I found that by manually uploading the registrants it’s then possible to bypass this restrictions. So I’ll run the ad and at some point export the registrants and import them manually. At that time they will receive the event link and will not have to go thorough authentication or a new registration. Unfortunately, not a setup available with Zapier at the moment. Thank you for your tips and support!

Thanks for giving that a try @Luma Bendini. Really sorry it didn’t work as out as hoped, but I’m glad you found a workaround though, even if it’s manual.

There is a Perform batch registration endpoint available for Zoom’s API that may allow you to import them in a more automated fashion. That said, I can’t tell from their documentation whether it would still set them to be “Pre-register invited”.

If you did want to give it a try I’d recommend using our custom actions feature which has an AI-powdered copilot that can help to get everything set up:

And I’d also suggest reaching out to our Support Team here to flag that registrants are being added as “Pre-register invited”. I’m not 100% certain whether it’s a bug, or more of a feature request to have the ability to set them as “Registered”, but they’ll be able to get a bug report/feature request added as necessary so that this can be sorted.

Please do keep us in the loop on how you get on! 🙂
