I need help with a simple setup.

 

When my podio updates to our collecting docs stage, we want to send an SMS 1 time to the client with an update. 

But I have to use the update item trigger, so anytime there's an update while in the collecting docs stage, it keeps sending an SMS. Is there a way to send the trigger 1 time?

If Podio returns the data of the updated event. You might want to try adding a Filter by Zapier step after the trigger.

Setting up a filter for what exactly? Is there something specific in the return I should filter that's for the 1st trigger that stops duplicate trigger.

it looks like you’ve reached out to our Support Team about this and they replied today with a suggestion. I’ll share details of the suggestion here in case it’s helpful:

Based on the details you've shared, it appears your Zap is triggering every time an update is made to the Podio task, not just when it reaches the 'Collecting Docs' stage. This is likely because the 'Updated Item' trigger in Podio is designed to activate every time any change is made to an item.

To avoid this, here's a workaround that you can implement:
1. Add another field in Podio for 'SMS Sent' and set it as a Yes/No type field.
2. Modify your Zap to include this new field as part of the filter stage. The Zap should only proceed if the 'Deal Stage' is 'Collecting Docs' and 'SMS Sent' is 'No'.
3. At the end of your Zap, add an action to update the 'SMS Sent' field to 'Yes' in Podio using the 'Update Item' action.

By doing this, the Zap will run only once when the item moves to the 'Collecting Docs' stage and won't run again for the same item since the 'SMS Sent' field will be updated to 'Yes'.
