Gravity form to look up info in a spreadsheet and add text to a cell

Hi there,

I use gravity forms and Zapier for an induction process. User completed a gravity form and captures details such as first and last name. When submitted this updates a spreadsheet row in a Google Sheet.

What I’d like to do, is similiar, but have the Zap check the gravity forms First Name and Last name fields against a pre populated Google Sheet with First and Last names plus other info. If the Zap matches the names fields it then changes/adds text to the cell on that row.

I’m trying to avoid having to check two spreadsheets - one for accreditation and the other for induction completions and bring the two into one combined spreadsheet.

Thanks you in advance of any help.

Chris

Hi Troy,

While I’ve been editing things for screenshots, I started from scratch and it works fine now.

I think possibly the missing part was connecting the lookup row info with the update row part, so they were in the zap but not connected.

Thanks for being there to help, much appreciated.

Hi @Fiji Chris

Try these Zap steps:

  1. Trigger: Gravity Forms - Form Submission
  2. Action: GSheets - Lookup Row
  3. Action: Filter
  4. Action: GSheets - Update Row
    1. Map the ID/Row from Zap step 2

Thanks for the quick reply Troy.

It’s kind of there, but all the info in the row is deleted (I need this to stay) but the cell I need the text changing to works.

Any idea how I can just update one cell, and leave the others alone?

Thanks

@Fiji Chris

For us to have more info, post screenshots showing how your Zap steps are outlined and configured in the CONFIGURE tab while in EDIT mode with the field mappings visible.

If you are using formulas in the GSheet, then that may be why only the 1 cell value is being updated.

Sorry I’ve been offline Troy.

I will get some screenshots posted, but need time to anonymise my data/spreadsheets etc.

Just to clarify on your last sentance in your last post -  ‘If you are using formulas in the GSheet, then that may be why only the 1 cell value is being updated.’

I’m using GSheets but no formulas. Also the cell in the row is being updated, the problem is all the other cells in that row are being deleted of information. So names and emails and contact numbers are all deleted. I end up with a row of empty cells apart from the cell that has been update.

@Fiji Chris

For us to have true context, we will need to see the indicated screenshots.

For us to have more info, post screenshots showing how your Zap steps are outlined and configured in the CONFIGURE tab while in EDIT mode with the field mappings visible.

Perhaps you can record and share a Loom.com video showcasing the issue with the Zap and the GSheet.
