Do I need to upgrade my Zapier plan to go live with my workflow?

Zapier’s pricing model depends on the type of workflow (Zap) you create and the features you use:

I have set up my workflow but do I need to upgrade before can use it to integrate 

  1. collecting emails from gmail
  2. deciding which to send
  3. generating and sending email from google sheet

WHAT DO I DO NEXT?

Free vs Paid Plans

  • Free Plan:
    • Allows up to 5 Zaps.
    • Each Zap can have 2 steps (Trigger + Action).
    • Runs every 15 minutes.
    • Limited to single-step Zaps (so Gmail → Google Sheets is fine if it’s just one action).
  • Paid Plans:
    • Required for multi-step Zaps, filters, paths, or premium apps.
    • Faster polling (every 2–5 minutes).
    • Advanced features like conditional logic, webhooks, and unlimited Zaps.

Do you have to pay to go live?

  • If your workflow is just Gmail → Google Sheets (one trigger, one action), you can run it on the Free plan.
  • If you added extra steps (e.g., formatting, notifications, or multiple actions), you’ll need a Starter or higher plan.
  • If you want instant triggers (rather than waiting 15 minutes), that’s also a paid feature.

Checklist Before Going Live

  1. Check if your Zap has more than 2 steps → Paid plan required.
  2. Check if you’re using premium apps → Paid plan required.
  3. Test your Zap → Ensure Gmail and Sheets are connected.
  4. Turn the Zap ON → It will run automatically within the plan limits.

Set up workflow and ready to extract emails from gmail

Cannot see how to turn on - Status cannot be turned on if that is problem

I should be able to see it working before paying and scanning all emails and sending with message?


I have also had a message that the message limit has been reached

I need to continue this set up in a new chat and start from where got to: Excellent! Google account connected. Now let me get the field mapping options for Google Sheets and configure it to match your Zapier Table structure:

You are able to manually configure and test each Zap step before turning a Zap ON.

Zaps that meet these criteria require a Zapier paid plan:

  • 3+ steps
  • Premium app integrations

 

For us to have more info, post screenshots showing how your Zap steps are outlined in order.

 

 


I CANNOT CONTINUE WITH THE WORKFLOW

OPTIONS ARE:

  1. View free with Zaps on - need direction
  2. May have reached usage where need to have paid version - BUT I have yet to test this workflow and see real data collected from gmail - so becomes a leap of faith
  3. Pay for upgrade for a month hoping this all works (and even if pay may not deliver?)

PLEASE DIRECT ON 1 2 OR 3 - I am stuck halfway which is a bad user experience - especially as copilot has built a brilliant workflow so far

Were you able to get things sorted? If not, I’d be happy to lend a hand! 🙂

It sounds like you might have a Google Sheets spreadsheet containing different email messages and Copilot has built a Zap that uses the Gmail app for the trigger, then decides which of the messages stored in the spreadsheet it should send (not sure if it’s using a Filter or an AI app action to determine that?) and then sends an email. Am I understanding that correctly?

If that’s correct then yes, you’d likely need a paid Zapier account in order to use the Zap since it would likely involve more than two steps which would make it a multi-step Zap

If you’ve just signed up for a Zapier account and are still on our Free trial, it should be possible to publish a Zap and run a live test before deciding whether to upgrade. You can learn more about what’s available on our free trial here: Get started with your free Zapier trial

That said, there may be alternative ways to achieve the workflow you want with a different approach. If you can you tell us a bit more about the overall workflow and your requirements for it so we can get a bit more context? Screenshots of the Zap’s current setup as Troy mentioned would be helpful too - just be sure to remove any personal info like names, emails etc. before sharing here (you can use a tool like Zappy for that).

Can’t you make use of the Zapier free trial to see if the plan can supports your needs? 

I think try contacting the Zapier support maybe for a trial extension if you have exhausted that so you can be sure before upgrading. Here is a helpful article about it here- https://help.zapier.com/hc/en-us/articles/8496197192461-Get-started-with-your-free-Zapier-trial. Hope it helps!
