When new client information is collected (via form submission/email) into Airtable, I want Mailchimp to trigger an email to a very specific audience segment, including detailed information that was pulled in from the airtable form. Is this possible? Here is more context: 

There’s a talent agency that works with both famous people (like Beyonce) as well as Brands (like Pepsi). Their day to day typically involves collecting personal information from their famous clients (like how Beyonce drinks Pepsi, or the food she gives her dog, favorite shoes, etc.) and then making an email pitch out to those respective brands with the end goal of getting their famous clients sponsorship deals with brands they actually like.

Currently, they send an email/form out to their famous clients collecting all of this information, where it is then stored in a lengthy airtable spreadsheet. They manually comb through that information looking for any crossover with brands, to then reach out and make a pitch via mailchimp email. All of the contact details for the brands they have relationships with are stored in a 2nd tab within airtable. 

My initial thought is, with or without a Zapier integration they could create several micro segments within mailchimp to represent the various contacts at the Brands they work with. However, would they also be able to generate an automatic email trigger with custom populated fields to make a pitch out to those segments? 

 

i.e. Hi (insert contact at pepsi), we represent (insert famous person who filled out form) and wanted to reach out because she (loves to drink pepsi- detail pulled from form). etc etc. 

 

Please let me know!! This organization loves how easy airtable is and they do not want to implement a more robust CRM like Salesforce, etc. Could Zapier possible solve all of their problems with a bit of upfront lifting? thanks! 

Essentially, you’ll need 2 Automations: 1 in Zapier, 1 in Mailchimp.

Automation 1

Zap

  1. Trigger: Airtable - New Record (in View)
  2. Action: Mailchimp - Add/Update Subscriber

The Airtable data points have to be sent to Mailchimp and stored in Custom Fields to then be used in Mailchimp email templates: https://mailchimp.com/help/manage-audience-signup-form-fields/

 

Automation 2

An automated Email (template) to be sent when some trigger applies (e.g. Tag added to Subscriber).

Thank you, @Troy Tessalone this is helpful. So just to confirm, this is doable, however; there would need to be very specific triggers created, and subsequently, very specific email templates,

  • Trigger created in Zapier when “pepsi” is entered within the client form.
  • That data point “pepsi” would then be stored in a custom field within Mailchimp. 
  • Within Mailchimp we would need to create a custom audience that, for this example, might include all of our contacts who work at Pepsi within marketing. 
  • Then we can create the automated email to be sent every time, to that custom audience, only when “pepsi” is mentioned when they fill out a form.

Want to make sure I have that right. Seems like it is very much doable but it would require an infinite number of trigger and custom email templates. Probably could be a full time job that never ends :)

Tho, will depend on the logic defined on your side for how the Airtable data relates to Mailchimp email templates.

 

The idea is to build the template Zaps and/or Mailchimp Email templates and/or Mailchimp segments to easily be able to clone/edit.

 

For example, if this is the email template in Mailchimp:

Hi (insert contact at pepsi), we represent (insert famous person who filled out form) and wanted to reach out because she (loves to drink pepsi- detail pulled from form). etc etc.

There are 3 data points that need to be passed from Airtable in to Mailchimp Custom Fields.

Those Mailchimp Custom Fields are then used in the Mailchimp email template.

 

For this: Mailchimp Segments can be used.

Within Mailchimp we would need to create a custom audience that, for this example, might include all of our contacts who work at Pepsi within marketing.
