Question

Creating SharePoint folders and copying documents from Knowify using Zapier

I need to know if it is even possible for Zapier to create automation so that when a job is closed in Knowify, that a folder could be created in Sharepoint and all documents in Knowify could be copied and filed in that folder. Any help would be appreciated. Thanks!

Hi there @MichaelQAPC, welcome to the Community! 🎉

Knowify has a Job Closed trigger so you could use that with Microsoft Sharepoint’s Create Folder action to create the necessary folder in Sharepoint when a Job is closed.

The copying of files aspect might be a bit trickier since Knowify doesn’t appear to have a search action that would supply a link of publicly-accessible links or file objects (which is what you’d need to send the file to Sharepoint) for all the files relating to a Job. There is a Find Resource search action but it searches based on the name of the resource (assuming resources would include files?)—but if the Job Closed trigger doesn’t supply then that’s not going to be much use.

How are the files received exactly? For example, are they files uploaded directly into Knowify after you create them, received by email or downloaded from somewhere else? Just wondering if there might be some way of capturing the files before they are uploaded to Knowify and adding them into a folder in Sharepoint before the job is closed. 🤔

Looking forward to hearing from you on this!

The files are uploaded directly into Knowify after you create them. I wanted the automation to help create a back up set of documents in case we ever move away from Knowify. Also, my PMs don’t love working in one system and then having to work in another system to save docs for back ups. Thanks for your reply though.
