Good morning everyone! I am hoping someone can guide me a little bit here.

 

I have a process right now where my trainers submit a Google Form for new clients. Upon submissions a range of things happen, a folder is created in GDrive with the Client’s name, 2 more folders are created within the new client folder called Documents and Training Videos. A bunch more things happen as well but this is where I need guidance.

 

My trainers can’t upload documents or videos at the time of the folder creation because there is information needed from the client first. There will ALWAYS be 3 documents uploaded to the documents folder and the # of videos is dependent upon the client’s needs.

 

What I am looking for is a way to scan the folders periodically, to check for new files in the folders so the links can be added to the clients training page created in Zap 1. 

 

The problem I run into is, I don’t know how to scan the folders periodically since I will not have the name of the client’s folder because its dynamic and changes with every submission.

 

Is there any way to share dynamic data w/ a second zap that allows me to still use a trigger?

 

I thought maybe storage by zapier or trying to send the folder IDs to Google sheets and using it from there, or maybe even a subzap but I’m a little overwhelmed with the ideas

Perhaps use the concept of a lookup table.

 

Perhaps use a Form to intake the files.

The concept being you would log the original Form data into a lookup table for reference.

Then use another form in another automation to upload the files to the GDrive folder that is found in the lookup table as well as set values for additional lookup table columns that indicate specific files have been uploaded.
