We are insurance brokers and we get many emails in from multiple insurers and/or different people within the insurers relating to a single policy number.  Each client or company has their own policy number.  The people who send them don’t always put the customer/client name but they do put the policy number.

We currently have to go through Outlook mailboxes and find emails with the policy number and manually attach it to that company or client in Swiftpage Act.  Is there a way to get those emails attached automatically to the client in Act instead of manually attaching each one by parsing.

If so what do we need in the subject line or how do we set out Outlook to allow parsing for Act!

Automate email processing in Act! using Zapier by extracting policy numbers from incoming emails and matching them to the correct client. Use Outlook's "New Email" trigger, Zapier's Formatter or AI tools to extract the policy number, and Act! 's "Find Contact" action to locate the client. Then, log the email using the "Create Note" or "Attach Email" action. To improve accuracy, ensure consistent policy number formatting, use AI-powered email parsing tools, or create a custom field in Act! for easier matching.
