Automate call summaries from recordings to Slack + Pipedrive (no meeting bot involved)

Hi Zapier community 👋

I’m trying to automate my post-meeting workflow without using a visible meeting bot like Fireflies

Here’s what I’m aiming for:

  1. I record meetings manually using QuickTime or OBS and I would like them to be saved automatically. 

  2. As soon as a new file is added, I want to:

    • Automatically transcribe the audio

    • Generate a summary using Gemini or ChatGPT

    • Then send that summary to:

      • a Slack channel

      • and as a note in the matching Pipedrive contact or deal

I’d love to hear how you approached it and what tools you used. Thank you so much in advance! 🙏

Zap app integrations can be searched here: https://zapier.com/apps

Each Zap app has a profile page that lists the available triggers/actions and help links.

That will help you get a gist of what should be possible to configure with the automations.

 

NOTE: You may have to use a meeting recording app to further automate the process.

 

STEPS

  1. Trigger: Google Drive - New File in Folder

    1. Triggered when a new call recording is uploaded to a specific folder.

  2. Action: OpenAI] - Create Transcription

    1. Send the audio file to a transcription service to get text output.

  3. Action: OpenAI - Send Prompt

    1. Use GPT to summarize the transcription text.

  4. Action: Slack - Send Channel Message

    1. Post the summary to a specific Slack channel.

  5. Action: Pipedrive - Find Contact

    1. You’ll have to determine how you can search for a Contact based on the file name or some other data point from a previous Zap step

  6. Action: Pipedrive - Create Note

    1. Log the summary in the relevant Pipedrive deal or contact.
