I wanted to share a workflow that’s helped our team automate task creation, calendar events, CRM deals, and email notifications — all from a single Google Sheet.
This setup uses Zapier Paths to branch logic depending on task type, lead status, or team role. It’s been a game-changer for reducing manual work and making sure every task or lead is handled on time. 🕒

🔧 The Tools We Used
We connected 5 core apps via Zapier:
App | Purpose |
Google Sheets | Trigger: New/Updated row |
Trello | Task creation & board updates |
Gmail | Auto-email team or clients |
Google Calendar | Create quick calendar events |
Pipedrive | Add qualified leads as Deals |
🧭 How the Zap Works
Every time a row is added or updated in our team’s central Google Sheet, the Zap is triggered and logic paths start branching depending on what's inside that row.
Here’s the simplified logic:
✅ Path A – Task Creation
- If the row indicates an internal task, a Trello card is created.
- Then it splits again:
- Path D: Sends an email to the assignee.
- Path E: Formats the due date and creates a Calendar event.
🔁 Path B – Update Trello List
- If a lead is marked as "follow-up", it moves their Trello card to the correct list.
🗃️ Copy of Path B
- Used for another lead status logic (e.g. "Hot Lead → Priority").
📇 Copy of Path E – Create CRM Deal
- Checks if it's a new lead → Adds a Deal in Pipedrive with mapped data.
🛑 Fallback Path
- If no conditions are met, it still creates a default Trello card so nothing is missed.
💡 Real Example
Let’s say this row is added:
Task Type | Assigned To | Due Date | Status | Lead Name |
Follow-Up | Sarah | 7/10 | New Lead | Mark Henderson |
Zapier instantly:
- Creates a Trello card on the "Sales Board"
- Logs a Deal in Pipedrive with Mark’s details
- Sends Sarah an email with the lead info
- Adds a Calendar reminder for July 10
All in seconds. ⚡
