I work in the admin of a conference center, and need an easier way to keep track of our ~40 rooms. At the moment rooms are organised manually, while I have automated most of my other workflow.

I don’t need anything fancy, as all rooms are booked for the whole week and they aren’t cleaned until after everyone is out. I mostly need it to sort out room availability in advance and possibly to automatically close the registration on our website when fully booked. It may not even need to be an app designed for room management. It will replace a piece of cardboard where we write in and erase names manually.

Does anyone know any good apps to use for something like this?

Hmmmm. Good question @Steffen. I’m having some flashbacks to previous jobs, thinking I had booked conference rooms correctly in Outlook, showing up and finding out that I hadn’t. UGH!

Anyways, I am so glad that you are trying to find a better solution.

There are definitely applications out there specifically for conference room management, but I’m wondering if you can leverage any of your existing technology stack to replace your cardboard sign ups.

For example, do you use Google Workplace? You could leverage Resources to create and manage conference rooms. One of the perks for this option is Google Calendar has a ton of Zapier integrations that might help you automate other parts of your work too!

Let us know what’s in your stack and let’s brainstorm!

Hi @Steffen

At a past company, we used the Robin app: https://robinpowered.com/

It does not have a Zap app integration, but it does have APIs: https://docs.robinpowered.com/reference/device
