Unable to find custom field "CEU Reapproval Date" in Asana setup

Hello, 

I’m looking for some help to set up a Zap with Asana. 

Context

I have a custom date field in an Asana project that called  CEU Reapproval Date, which is formula date field that calculated to be 700 days from another date field that is manually entered.  

 

The Goal

When the CEU Reapproval Date is today’s date, I want an Asana to run a rule that adds the task to a project & adds a subtask with an assignee for that task. 

 

Setting Up Zapier

ChatGPT recommended I follow these steps:

Zapier doesn’t let you search tasks by a custom field directly, but here’s a workaround:

1. Use "Find Section" Instead of "Find Task"

  1. Click "+" to add an action in Zapier.
  2. Choose "Asana" as the app.
  3. Select "Find Section" instead of "Find Task."
  4. Choose your workspace and project.
  5. Use the section that contains tasks needing reassignment.
  6. If tasks are structured by date, you can process them further.

2. Use a Filter Step to Find Tasks With Today's Date

  1. Click "+" and choose "Filter by Zapier".
  2. Set the condition:
    • Field: CEU Reapproval Date
    • Condition: "Equals"
    • Value: {{zap_meta_human_now}} (this dynamically selects today's date)
  3. Click Test to confirm it filters correctly.

The Issue

I am not seeing my custom field “CEU Reapproval Date” as an option to choose from. 

Has anyone run into this issue? I’m not seeing any of my field names being pulled into Zapier when I search.

Hi! I could invesitgate on this a little bit. Here’s a fix proposal:

  • Create an additional Formula field in Asana, the formula being “CEU Reapproval Date // Substract // Today”
  • Set your Zap on the “Updated Task” Trigger, and choose this new field as the one to watch
  • Just after this trigger, set a filter to only let the “0 Days” values pass on
  • Then you can add your “Add task to project” and “Create subtask” blocks 

Hopefully this helps! I didn’t find a way to do this fully within Asana’s Rules but maybe I didn’t look carefully


Thank you for this suggestion! I like your suggestion of creating a new field in Asana of calculating the dates from today. 

Instead of creating a Zap for “Update Task”, I’m setting it up to find a section in the Asana project, and then locating the field. If I use Update Task for the Zap, it’s asking for the task name and I need this rule to trigger by the custom field, not the task name.

 

When I try to look for my new field called “CEU Reapproval Calculation” it does not show up.  Any thoughts on this?

It’s strange that you couldn’t set the Trigger properly, and a workaround would add complexity to the flow. Could you look at these screenshots and make sure you can’t replicate them in your account? 

 

The 1st one is the setting your should have for the trigger, and the second one is the new formula field you should filter by.

 

 

 


Thank you for your help! I was able to get my Asana fields to show up after removing the step 1. Schedule by Zapier. This filter works, and it ran correctly when I asked it to create a new task within the a specific section in this asana project.

The Problem: I’m unsure what to put for Parent Task ID. What I want this step to do, is to add a subtask to the parent tasks that matches the filter in step 2. 

Any help is much appreciated! I’m struggling to find tutorials on this online.

The parent task ID is the ID of the task from your Trigger step :)

 

Click on “Custom” (from your 2nd screenshot), and you should be able to map it
